How InvoiceIQ helps contractors stay on track.

For many roofing contractors, time is one of the most limited resources. Between managing crews, serving customers, handling finances and keeping operations moving, there simply are not enough hours in the day to manually review every supplier invoice line by line.

That was the reality for Taber Walls, CEO of Bluegrass Roofing, a family-owned roofing company where she wears multiple hats every day. “I do everything but inspect and put on roofs,” Taber laughed. “I handle AP, AR, marketing, business development, scheduling, phones and more. I just don't have time to go through every invoice line item by line item.”

Like many contractors, Bluegrass Roofing knew that occasional mistakes could happen on invoices, but spot-checking was the best they could manage. That changed when Taber learned about InvoiceIQ.

Finding hidden dollars

The decision to explore invoice auditing came after Bluegrass Roofing discovered some unexpected discrepancies while reviewing supplier invoices.

“We realized we hadn't been paying enough attention to it,” Taber explained. “You can nickel and dime your business without even realizing it. A few dollars here and there doesn't seem like much until you see what it adds up to over time.”

After implementing InvoiceIQ, the company quickly discovered pricing discrepancies that would have been difficult and time-consuming to identify manually. While some adjustments were relatively small, the cumulative impact was significant. “It adds up,” Taber said. “Even if it's only $10 or $20 at a time, over the course of a year that can have a real impact on your margins.”

Importantly, Taber emphasizes that invoice discrepancies are not necessarily the result of wrongdoing. In a business that processes thousands of products, price sheets and transactions, mistakes can happen. That's why she views InvoiceIQ as a verification tool rather than a fault-finding tool.

Transparency builds strong relationships

One of the concerns contractors may have is whether using an invoice auditing service could create tension with their suppliers. For Taber, the answer was simple: communicate openly.

As soon as Bluegrass Roofing signed up for InvoiceIQ, she contacted her distributor and explained exactly what the company was doing. “I called them and let them know what we were doing,” she said. “I told them every Monday they were going to get a report from me showing exactly what InvoiceIQ matched up.”

Rather than surprising the distributor with questions later, Taber chose transparency from the beginning. She explained that InvoiceIQ was filling a gap in her company's internal processes and serving as a tool to help verify invoice accuracy because her team simply did not have the capacity to perform those reviews themselves.

Today, that communication has made the process remarkably smooth. Every Monday, Taber receives her InvoiceIQ report and forwards it to the appropriate contacts at the distributor. Within minutes, any necessary credits are typically issued. “Because I had that conversation with them ahead of time, it's easy,” she explained.

The process demonstrates how contractors and distributors can work together as partners. Invoice verification creates clarity for both sides and helps ensure pricing is aligned with agreed-upon terms.

Simple to implement

According to Taber, one of InvoiceIQ's biggest strengths is how easy it is to get started. “All I had to do was send over our price sheet,” she said.

The InvoiceIQ team handled the setup process, uploaded pricing information and worked through product code matching. When additional clarification was needed, Taber worked with her distributor to obtain the exact product information, ensuring the system was accurately configured.

“Within a week, we had everything,” she said. “It was truly so easy.” Today, the process requires very little effort from her team. After receiving supplier invoices, Taber simply forwards them to InvoiceIQ. “Once I'm done, I just forward it over and don't think about it again until I get the report on Monday.”

More than savings: Peace of mind

While the recovered dollars deliver a clear return on investment, Taber says the greatest benefit may actually be confidence.

“The biggest thing for us is the peace of mind,” she said. “We aren't wondering if we've been overcharged. We aren't wondering if credits should have been applied. We know for sure we're getting what we were told we were going to get.”

For contractors operating on tight margins, accuracy matters. Even small pricing differences can impact profitability when multiplied across hundreds of invoices and thousands of products.

InvoiceIQ helps ensure that the pricing contractors use to build their estimates matches the pricing they actually pay, protecting margins and providing confidence that financial expectations remain on track.

A tool built for busy contractors

As a business owner, mother and leader, Taber understands the importance of focusing her time where it creates the greatest value. Rather than spending hours reviewing invoices manually, she now has a system that verifies pricing accuracy and provides clear reporting each week.

Her verdict? “I would recommend it 1,000%,” she said.

For contractors who want greater confidence in their supplier invoices while maintaining strong distributor relationships, InvoiceIQ provides a simple solution: trust, transparency and verification working together to protect profitability.

Small invoice discrepancies can quietly reduce margins when contractors lack the time and tools to verify every charge.

Contractors closely monitor labor, material prices, fuel expenses and productivity, but InvoiceIQ highlights another threat to profitability that may be hiding in plain sight: invoice inaccuracies. Supplier relationships are built on trust and invoices often need to be processed quickly to keep projects moving. Accounting teams may not have the time or resources to verify every price, discount, freight charge and rebate against existing agreements. As a result, discrepancies can pass through the payment process unnoticed.

A single pricing error may not appear significant. A $20 discrepancy or an unexpected $50 charge can seem minor when viewed in isolation. Across hundreds or thousands of purchases, however, small errors can steadily reduce the margins contractors work hard to protect. Potential issues can include incorrect unit pricing, duplicate charges, missed rebates, freight inconsistencies and tax errors. These problems are not necessarily intentional, but they can still have a measurable effect on a contractor’s financial performance.

Finding them manually can be difficult. Contractors purchase materials, accessories, fasteners, safety products, equipment and services, creating thousands of individual line items that may need to be reviewed. Accounts payable teams are already responsible for ensuring invoices are processed accurately and on time, leaving little capacity for detailed audits.

Invoice auditing can help identify pricing inconsistencies, contract pricing mistakes, missed discounts, duplicate billing and recurring vendor-specific issues. Automated systems can review large numbers of transactions more efficiently, giving contractors greater visibility into their purchasing activity.

This approach is not about pressuring suppliers or cutting essential costs. It is about confirming that agreed-upon pricing is being applied and ensuring both contractors and suppliers are working from accurate information. Contractors exploring available service options can find out more about InvoiceIQ’s pricing.

Before looking for new ways to increase profitability, contractors may benefit from asking a more immediate question: Are they paying the correct price today?

InvoiceIQ helps contractors identify supplier overcharges, automate invoice processing and gain greater confidence in their financial data.

As contractors grow, reviewing every supplier invoice can become nearly impossible. On this episode of Roofing Road Trips®, John Albright, InvoiceIQ founder, explained how technology can help businesses uncover billing errors before small discrepancies become significant financial losses.

John began working in plumbing at 16 and eventually expanded his company from $2 million to more than $70 million in annual revenue between 2014 and 2022. As the business grew, its supplier account reached approximately $40 million and generated around 20,000 invoices each month.

At that scale, manual reviews were no longer practical. John said his team relied on overall job profitability because employees could not keep pace with the invoice volume or memorize tens of thousands of supplier stock-keeping units. Describing the limits of manual oversight, he asked, “How do you memorize 50,000 SKUs with your supplier? It’s impossible.”

The challenge inspired the creation of InvoiceIQ, a browser-based platform that compares supplier invoices against contractors’ agreed-upon pricing. Artificial intelligence (AI) reads uploaded invoices, identifies the supplier and organizes the information. The platform can also transfer invoice details, job numbers and other data into accounting systems such as QuickBooks and Sage.

Explaining the platform’s core function, John said, “We upload that with your agreed price sheet with your supplier and it checks to make sure that they’re charging you the right price.” When InvoiceIQ identifies a discrepancy, it produces a supplier-specific report showing the agreed price, the amount charged and an explanation of the finding. Contractors can send the report directly to their supplier to request an adjustment.

John emphasized that many invoice errors are unintentional. However, even minor differences on frequently purchased materials can add up quickly. Reflecting on the results in his own business, he shared, “I was catching anywhere from 120 to $150,000 a year in errors.” The platform also provides historical pricing information that contractors can use to evaluate increases, compare suppliers and support purchasing discussions with verifiable data.

Invoice IQ helps contractors compare supplier invoices against agreed pricing to identify overcharges and recover revenue.

For contractors managing material costs across hundreds or thousands of invoices, missed pricing errors can quickly drain revenue. On this episode of Roofing Road Trips®, Karen Edwards spoke with John Albright of InvoiceIQ about why invoice review matters and how technology can make a manual, time-consuming process more manageable.

Q: How does InvoiceIQ help contractors verify supplier pricing?

At its core, InvoiceIQ addresses a simple but costly gap in contractor operations: the difference between agreed pricing and the amount charged on a supplier invoice.

“When you get a supplier invoice mailed or emailed to you. We upload that with your agreed price sheet with your supplier and it checks to make sure they’re charging you the right price.”

John’s explanation underscores the importance of verification, especially for contractors managing supplier relationships, pricing agreements and high-volume material purchases. By comparing invoices with agreed price sheets, the platform helps contractors catch discrepancies before they become absorbed as a cost of doing business.

Q: Why can invoice review become harder as a business grows?

In John’s experience, growth can quickly outpace manual invoice review. As supplier spending increases, checking each invoice line by line becomes harder to staff, manage and verify consistently.

“Once it got up to $40 million, the only thing I could do to combat not having the team check invoices was to just check my P&Ls. How much money was I making on each house I was building, each building I was building? That generally made my anxiety go down.”

Without that detailed review, contractors may have to rely on project-level profitability checks instead. While that approach can show whether a job remained profitable, it may not reveal where pricing errors occurred or how much revenue was lost.

Q: Why should contractors pay attention to smaller material charges?

According to John, invoice errors do not need to appear on large-ticket items to affect the bottom line. He explained that contractors often focus on the most expensive products on an invoice, such as boilers or major equipment, because those costs stand out immediately. But overcharges on smaller materials can be just as damaging when those items are purchased repeatedly across many jobs.

“He started raising the price on 25-cent fittings and things like that, which, when you consolidate the whole account, is 80% of what you’re actually paying, not a $3,500 boiler or a $5,000 boiler.”

Contractors may naturally focus on expensive equipment or more obvious line items, but smaller charges can carry just as much risk when they escape review. Over time, even minor overcharges can compound across an account and turn into meaningful lost revenue.

For companies managing multiple projects, disciplined invoice review can help protect margins, improve job costing and strengthen supplier accountability. InvoiceIQ gives contractors a way to identify discrepancies before they are absorbed as a cost of doing business.

InvoiceIQ helps subcontractors identify pricing errors, recover credit and streamline invoice management before overcharges become the cost of doing business.

Vendor invoices move quickly through a subcontractor’s back office, but small pricing discrepancies can add up fast when teams do not have a simple way to catch them. For contractors managing high volumes of materials, purchase orders and accounts payable tasks, the difference between the agreed price and the billed price can quietly reduce margins. That is the problem InvoiceIQ is built to address. The AI-powered tool is designed to scan every line item on inbound invoices against a contractor’s custom price sheets, helping identify vendor overcharges before they are missed or absorbed. When InvoiceIQ finds a mistake, it aggregates the errors into a report and alerts the user, making it easier to request credits and track reconciliation.

The platform also supports a more efficient accounts payable process by routing inbound invoices as bills payable directly to accounting systems such as QuickBooks Online or Sage Intacct. For teams spending hours manually entering invoice data, that automation can help reduce administrative work while improving visibility into what vendors are charging.

InvoiceIQ’s value is especially clear in early invoice reviews. According to the company, one plumbing company found a mistake that led to a $7,000 credit during its first month using InvoiceIQ. A roofing company reviewed its first 10 invoices and found $650 in overcharges. Another roofing company looked back across a year of invoices and discovered that a single vendor had repeatedly overcharged them by more than $14,000.

InvoiceIQ is part of the broader SubAssist product family, which also includes SubAssist Connect and SubAssist. SubAssist Connect centralizes and standardizes documents from production home builder portals, while SubAssist helps subcontractors in production home building read documents such as purchase orders, compare line items to contracts or bid sheets and create sales orders in accounting systems.

Fortress Framing uses invoice automation technology to identify recurring supplier overcharges, recover lost profit and reduce time spent reviewing invoices.

Fortress Framing recently shared how automated invoice review technology from InvoiceIQ helped the company recover thousands of dollars in supplier overcharges while reducing the amount of time spent manually reviewing invoices. According to the company, managing supplier invoices had become increasingly difficult because of the high volume of daily invoices and the large number of line items attached to each order. Operations Manager Lacy McCormick said manually checking every invoice was no longer realistic for the company’s team. Lacy noted, “With the amount of invoices that we get daily and the amount of line items on an invoice, it’s virtually impossible to have any one human being or even a team, checking those.”

Like many construction companies, Fortress Framing works with large material orders that include fluctuating pricing and extensive product lists. Because of that complexity, smaller pricing discrepancies were often overlooked while teams focused on larger issues such as shipment errors or missing materials.

The company implemented InvoiceIQ after learning about the platform through partners at SubAssist. Lacy described the system as simple and easy to use because invoices are automatically submitted, reviewed and reported through the platform. Within the first month, Fortress Framing identified between $500 and $1,000 in weekly overcharges, according to Materials Specialist and Estimator Alex Erks.

Over time, the supplier’s billing errors decreased as discrepancies were identified and corrected. InvoiceIQ’s TW Woodward noted that some weeks eventually showed zero pricing errors. In addition to recovering money, Fortress Framing said the system reduced administrative workload and improved supplier interactions by reducing billing disputes. “The nice thing is it takes virtually no time now,” Alex said. “We just forward the invoices over, and InvoiceIQ gives us the total back. It frees up time for us while catching money.”
